If you have a recurring event, Activity Scheduler makes it easy for you to schedule this kind of event.

 

Click Add recurring event to start.

The first part of adding a recurring event is just like adding a single event (see Calendar - School Only Events > Schedule School-Only Events > Add event).

 

1. Except for setting the Date, follow the process defined in Add event in adding a recurrent event. Fill out the different fields. Select Activity by Type (a), Activity (b), set the Time (c), Bus Time (d), and Location (e). Activity and Date are the required fields, the rest are optional.

 

Tip: Click the + sign if you want to add a new activity or new location. This will only be added to School Only listings.

2. For those who have Facilities Scheduler, fill out the For Custodians/Maintenance Staff (f) fields. Add your Public Comments (g).

3. Select a Contact Name (h). Check the box of Record Edit History After Publishing (i) if you want to record any changes that would be made to the event. Add an Attachment (j).

4. Set the dates.

 

a. You can Shift+click to select a consecutive range of dates. Click the first day of the event. Hold down the Shift key and click the last day. Procedure is the same if you want to deselect the whole range of dates.

 

b. Or, you can also click the corresponding letter day of the week to select all the dates that fall under that particular day for the entire month. For example if you want your activity to be scheduled every Monday, you can click on M to select all the Mondays of that month. Procedure is the same if you want deselect the whole set of dates.

 

 

5. Add to queue: To put the selected dates on queue, click Add to queue. You can still schedule the event on a different time and/or location but still keep the same dates. Simply set the new time (1c) and/or new location (1d); then click on Add to queue to include in the list the new time and/or location.  

 

Or, if you want to add another set of dates to the queue, click 'Clear dates', enter the necessary changes to the information fields and select the dates; then click Add to queue.

 

6. Remove selected: To remove a set of dates from the queue, select the set of dates and click Remove selected.

 

7. Save & Exit: An event list will appear with all your entries inside the box. You can continue adding recurring events until you are done. Click on the Save & Exit button to complete this procedure. Or, click << Back to return to the previous page without saving the entry.

After saving an event, a window will pop-up if the event you scheduled is in conflict with another event created from Activity Scheduler. The pop-up window will display the event your newly scheduled event is conflicting with.

 

a. OK: Click OK to save the event with conflict.

 

b. Cancel: Click Cancel to make changes to any or all of these fields -- date, time, location -- to solve the conflict problem.

If your Activity Scheduler is integrated to your Facilities Scheduler, a window will pop-up if the event you scheduled is in conflict with another event created from Facilities Scheduler. The pop-up window will display the event your newly scheduled event is conflicting with. Click OK to make necessary changes to the time, date, or location of your event. It will not let you save your event unless you make the necessary changes.
