You can go through a one-time process to teach the Activity Scheduler about the relationships between your levels, and this will allow you to schedule more quickly as you are only changing what is different than the norm.  

 

Example: My Varsity Boys Baseball typically plays home games at Burnsville High School with the location detail being Baseball Field 1 and we play at 6pm.  So, I will set that as my default for home games.  Then I will set my JV to swap home and away and play at the same time and date. Then, I will set my 10th grade to play at 4:30pm on the same date and at Burnsville High School at Baseball Field #1 for my Location detail.  By setting up this relationship between my levels once now, whenever I schedule, it pre-fills most of the information for all my lower levels as I enter the Varsity detail.

 

Here is how you Teach the Activity Scheduler about your levels:

 

From your main Administrative Screen, edit Set-Up.

Edit Define Activity Parameters under Conference & Non-Conference Set-Ups.

Edit the activity which you want to set-up ��' define the activity parameters.

Defining Activity Parameters ��' The goal here is to set the most commonly used settings for home games so that you only have to change the ones that are different when scheduling.

 

In the case below, I have set my Baseball Varsity and JV levels:

- For Varsity, I have set the default time to 6:00 PM with duration of 2 hours.

- For JV, I have set the default time to 6:00 PM with duration of 2 hours.

NOTE: Duration is optional unless you also use the rSchoolToday Facilities Scheduler.

- Both events will take place at the same location detail when it is a home game.

NOTE: You may need to first go and set up your School Only Locations to include the correct Location Details for your activity schedules.  This is found under Set-Up > School Only > Locations.

- Now, if I want to set my 10th Grade levels, I just choose the Level on the last listing and add all the parameters for that level.

- I can also set lower levels to:  

o  Play ‘x’ days before or after the Varsity 

o  Swap the Home location with Away

- I can also add the Account Code (budget code) to be used in reports and vouchers for Activity Fees and Event Fees for the business office. (optional)

- Once I have finished with a level, I can Save and add Another Level or just Save & Exit

Now, when scheduling or adding games to existing non-conference schedules, I can choose to Show All Levels and much of the scheduling process is automatically filled in for me.  I can always override any setting to create exceptions.
