1. To start adding dates/events to a schedule, click on Add a Date.

 

By clicking Add a Date, a window will pop up where you can input information for your events to be included in the season.

 

2. Fill out the different fields on the new window.

a. Set the Date.


b. Select Event type from the dropdown menu. You can click the inverted triangle to fill down the rest of the fields with the same event type you set for the first field. This is a real time-saver.

 

NOTE: this is available on many fields, but is most commonly used on Event Type and Time.

 

c. Select Home/Host.

d. Select the opponent or Away school(s).

 

Tip: To select schools in a row, you can hold the Shift key and click on the succeeding schools. To select multiple schools which are not successive in a row, hold Ctrl key down while selecting the schools.  For MAC users, hold the Apple/Command Key down while selecting the schools.  Click on the + sign to add new opponent.

 

e. Set the location and time. You can click the inverted triangle to fill down the rest of the fields with the same location and time.

f. For those whose Activity Scheduler is integrated with Facilities Scheduler, you will be filling out an extra field  Location Detail.

Note: The assigning of location detail is what writes an activity over to your Facilities Scheduler.

 

3. To add comments (optional), click on the Comments. A new window will pop up with 2 different text boxes where you can add comments. 

 

a. One for sharing the comments into all schools involved with that event, and

 

b. the other that ONLY posts the comments to your school.

 

c. Store: Click this to save the comments added.

 

d. Delete: Click this to clear the text boxes.

 

e. Cancel: Click this to close the window without saving the comments.

4. To exclude an event in a date from saving, check the box beside Clear. This will not save that particular entry.

5. For those schools which are also using the rSchoolToday Facilities Scheduler in their school or district, you can add Set-Up and Tear Down times as well as notes to the Custodians/Maintenance Staff in the conference and non-conference schedules area.

6. Saving the entry or exiting.

 

a. Back: <="" b="">Click this to close the window without saving your entry.

 

b. Save & Add Another: Click this to save your entry and also to continue adding more entries.

 

c. Save & View This Schedule: Click this to save your entry and view your newly created schedule.

 

d. Save & Return to the List of Schedules: Click this to save your entry and return to the Season Queue screen.


For those Activity Scheduler integrated with Facility Scheduler:

 

Aside from listing the event in the Facilities Scheduler, another important role of the Location Detail (see number 1f above) is that it will check for conflicts specifically with location. So after saving an event entry in the Activity Scheduler, a window will pop up warning you if the event you scheduled is in conflict with another event created from Activity Scheduler. The pop-up window will display the event your newly scheduled event is conflicting with.

a. OK: Click OK to save the event with conflict.

Note: If you click OK and 'Save with Conflicts,' this adds the event into your Conflicts Tab so you have a record of all activities that have conflicts that need to be resolved. (The Conflicts tab exists in both Conference and Non-conference areas right next to the Schedules Tab.)

b. Cancel: Click Cancel to make changes to any or all of these fields -- date, time, location -- to solve the conflict problem.

A window will also pop up if the event you scheduled is in conflict with another event created from Facilities Scheduler. The pop-up window will display the event your newly scheduled event is conflicting with.

 

a. Cancel: Click Cancel to make necessary changes to the time, date, or location of your event.

 

b. OK: Clicking OK will let you save your entry but without any location detail assigned to it. This gives you the ability to get the rest of the data saved, but warns you that this event is *not* writing over to the Facilities Scheduler.

 

Note: If you click OK and 'Save with Conflicts', this adds the event into your Conflicts Tab so you have a record of all activities that have conflicts that need to be resolved. (The Conflicts tab exists in both Conference and Non-conference areas right next to the Schedules Tab.)

By clicking OK, a new window will pop up asking for confirmation if you want to save this event without any location detail thus making this event not reflected on Facilities Scheduler.

 

a. OK: Click OK to 'SAVE FOR NOW WITHOUT WRITING TO FACILITIES'. Clicking OK will delete the location you selected in the Location Detail field, and will leave that field as blank. IMPORTANT NOTE: The assigning of location detail is what writes an activity over to your Facilities Scheduler.

 

b. Cancel:  Click Cancel to make changes to the event.

 

Note: A reminder message about the conflicting activity schedules and activity with no location detail will pop up every time you log-in into the Activity Scheduler.

 

Click OK to close the window.
