Lower Level Schools - Who Should Use Them and How
This feature allows you to name your middle schools (or junior highs) and schedule for them just like your high school. Now, these will appear as separate schools in the dropdown menus for your whole conference. This feature only applies to schools:
a) If you have multiple middle schools in your district that you are scheduling for.
b) Or, If you have middle school/junior high with a different name than your high school
c) And, If you have paid for the Activity Scheduler for you Middle Schools/Junior Highs
Note: This will not apply to you if you have a separate middle school AD and Activity Scheduler apart from the high school unless you are scheduling for multiple middle schools.
Lower Level Schools is found in the Set-Up button on your main administrative control panel.
For Existing Activity Scheduler Users: While some of you have accomplished this in the past by having your Conference master administrator just create new 'Conference Schools,' there are significant limitations to that method. Here is why you will want to change to this new method, especially if you have multiple middle schools feeding your high school:

The Set-up is very easy, but where it gets a little messy is that you probably already have these schedules in place and now need to modify them in order to take advantage of this new feature.
And, there are a few different ways that schools have created their current lower level schedules. So, we will try to address the steps for you in each of these cases:
SET-UP STEPS:
1) For everyone who needs this feature (and who has paid for use for their lower level schools):
a) Go to Set-Up
b) Add your lower level schools as needed. Note: you only need to add schools that you are doing scheduling for.
2) If you are new to the Activity Scheduler - you are finished!!! Your lower level school(s) will now appear as choices when scheduling.
3) If you are an existing Activity Scheduler user, please choose the scenario below (A, B, C, D, or E) that best describes your situation and follow the steps in that scenario. We will use Princeton High School as an example here:
SCENARIO A) If you only have one middle school/junior high and it has basically the same name as your high school
and you have just added the schedules for this school by choosing the correct level in the Activity Scheduler (6, 7, 8, etc).
1) You're done!! You don't need to change anything unless you want the middle school name to appear on the calendar.
So, rather than just 'Princeton' at the 8th grade level it would show as Princeton Middle School. If you want this, refer to
Scenario B.
SCENARIO B) If you only have one middle school/junior high and it has a different name than your high school and to-
date, you have just added the schedules for this school by choosing the correct level in the Activity Scheduler (6, 7, 8,
etc).
1) Edit each Schedule that you have built for these middle school levels and change the name of your school from
Princeton High School to Princeton MS, then save changes. Note: Do not do this for your high school levels. Sorry, but
there is no automated way to make this change, but for all future schedules, you can use the new Princeton MS and life
is easy.
SCENARIO C) If your Conference Master Admin set up your lower level schools as 'Conference Schools':
1) Since your middle school name(s) are already in the system, you will first need to temporarily set up your lower level
schools with a different name since our system will not allow 2 schools with the same name.
2) Edit each Schedule that you have built for these middle school levels by changing the name of your school from
Princeton High School to Princeton MS, then save changes. Note: Do not do this for your high school levels. Sorry, but
there is no automated way to make this change, but for all future schedules, you can use the new Princeton MS and life
is easy.
3) After making all the changes from the old middle school name to the new 'Lower Level School' name, have your
Conference master admin remove the old name from the system.
4) Now, if desired, you can go back into Set-up, and change the name of your lower level school(s) to be what you ideally
want them to be.
SCENARIO D) If you are a high school AD and you had rSchoolToday build you a new Activity Scheduler for your middle
school(s). NOTE: here's how you know if this scenario applies to you. If you have to change the name that appears in
the 'Login as:' dropdown in the upper left of the main screen in order to add activities to your middle school, then you have
a separate scheduler for your middle school. For example: Login as: 'Princeton - Jim Jones' is what shows in this
dropdown when you first log into your program, but to get to the middle school, you change the setting in this dropdown to
'Princeton MS - Jim Jones.'
1) Since your middle school name(s) is already in the system, you will first need to temporarily set up your lower level
schools with a different name since our system will not allow 2 schools with the same name.
2) Edit each Schedule that you have built for these middle school levels by changing the name of your school from
Princeton High School to Princeton MS, then save changes. Note: Do not do this for your high school levels. Sorry, but
there is no automated way to make this change, but for all future schedules, you can use the new Princeton MS and life
is easy.
3) After making all the changes from the old middle school name to the new 'Lower Level School' name, have your
Conference master admin remove the old name from the system.
4) Now, if desired, you can go back into Set-up, and change the name of your lower level school(s) to be what you ideally
want them to be.
SCENARIO E) If you are a middle school AD who schedules multiple middle schools within your district.
